Invite your team
Add your people — and what admins can do that others can't.
Your AI answers the phone, but it doesn't work alone — it works in front of your people. Your office manager watches the live calls, a CSR steps in when a caller needs a person, a tech checks what the customer already said before calling back. All of that needs your team inside Tradesly, each with their own login.
Don't share one account around the office. Individual accounts cost you nothing and buy you a lot: everyone gets their own password, their own status, and their own name on what they do.
1 Sending an invite
Invites are sent from the Users page in Settings — an admin-only area. You fill in who the person is and what they're allowed to do, and they get an email, follow it, set a password, and they're in. That's the whole process from your side.
Invite anyone who touches customers or the phones: office staff, CSRs, and any tech who should be able to see a customer's history before knocking on the door.
2 The steps
Open Users in Settings.
It's under Company, and it's admin-only.
Press Add User.
The “Add New User” dialog opens.
Fill in their details.
First Name, Last Name, Email, Username and Phone — use an address they actually read, because that's where the invite lands.
Choose their Role.
Two roles can be assigned here: Admin and Agent. An Admin automatically sees every brand your account owns. For an Agent, select only the brands they cover under Organizations.
Press Send Invite.
They show as Pending Invite until they follow the email and set a password.
3 What everyone can do
Every account, whatever its role, gets the day-to-day working set:
- Dashboard — the pulse of the business: what's happening and what needs someone.
- Office — live calls and conversations, with the tools to watch a call and step in when a caller needs a person.
- Leads — the list of people to work: who's new, who's waiting, who's next.
- Profile — their own name, details, password, and appearance settings. Make it yours covers those.
That's deliberate. Answering customers is everyone's job, so the tools for it belong to everyone.
4 What admins additionally see
Admins get everything above, plus the levers that change how the business — and its AI — behaves:
- AI Team — the roster of AI agents working for your business.
- Coaching — the plain-language conversations that change what your AI says and does. See Describe the change.
- Schedule — the board of jobs, crews, and availability that the AI books against.
- Call Lists — a tab on Leads for organized outbound calling work.
- Catalog and settings editing — your services, business details, and everything else under Settings, including inviting more users.
The dividing line is simple: if it changes what the AI tells a customer or what your business promises, it's an admin control. A new CSR can take over any live call on day one — but they can't accidentally rewrite the greeting or edit your service catalog while finding their feet.
5 Choosing who gets admin
Fewer is better. Admin belongs to the people who genuinely set how the business runs — usually the owner and whoever manages the office. Everyone else does their best work with the everyday set, and you can always change someone's role later. For the finer details of roles and access, see Users and permissions.
