An AI that knows when to stop being an AI
Why the handoff to a person is the heart of the product, not an afterthought.
Good phone coverage is not about making the AI stay in every conversation. It is about letting it handle approved, routine work while making it easy for a person to take the moments that need judgment, authority, or reassurance.
Tradesly gives your team a live view of active calls and visible controls for joining or taking over. The customer-facing goal is simple: the person who steps in should already understand the situation and should not make the caller start from the beginning.
1 When a person is the better answer
Coach clear customer-facing boundaries. Common examples include:
- the caller asks for a person;
- there is a safety concern or urgent exception;
- the request falls outside an approved service, price, or policy;
- the customer disputes what they were told;
- a staff member decides that personal judgment will produce a better outcome.
These are operating choices for your business, not a hidden decision tree you need to design. Describe the outcome plainly and test representative calls. If the situation is unclear, favor a short explanation and a person over an improvised answer.
2 What your team can do during a call
Open the live conversation from Office. Depending on the call and your permissions, you can listen, read the available context, and use Take Over when you are ready to speak. Once you take over, introduce yourself and continue from the customer’s latest question.
Do not use a live customer call to experiment with new coaching. If you are evaluating a change, call your own number first and use a scenario that does not expose real customer information.
3 What to do next
Call your own AI number.
Use your phone and ask about a realistic service. Listen for the business identity, the questions it asks, and the next step it offers.
Open Office while the call is live.
Find your test conversation and review the information visible to a teammate who might step in.
Use Take Over.
Introduce yourself, continue the test, and confirm that you know enough to help without asking the caller to repeat everything.
End and review the conversation.
Note any missing context, awkward wording, or situation that should reach a person sooner.
Coach one clear correction and test again.
Focus on what the customer should hear or when your team should be involved; do not try to specify internal routing or call control behavior.
4 Set expectations your team can keep
Train staff on who watches live activity, who may take over, and what happens when no one is available. Avoid absolute promises such as “every call is answered on the first ring” or “a caller can never be disconnected” unless your published service commitment supports them.
