From verdict to coaching — closing the loop

Turn one rehearsal finding into a clear, reviewable customer outcome.

A rehearsal finding is the start of a decision, not the finish. The useful work is turning that observation into a clear customer outcome your team can understand and review.

Suppose a customer asks to move an appointment and the reply is unclear about the new time. The next coaching instruction should describe the behavior you want on future calls:

“When a customer changes an appointment time, repeat the new time before completing the booking.”

That is more useful than describing only what went wrong. It gives you a result you can hear and test.

1 Keep each round small

Choose one finding per round. A greeting, a price answer, and a booking rule may all need attention, but changing them together makes the next result harder to interpret. Fix the highest-impact issue first, repeat the situation, and then move to the next one.

The instruction should be specific enough to follow but not tied to one customer's name or one appointment. Write it as a rule you would give a new team member.

Pick one finding.

Choose the issue most likely to affect whether a customer gets the right answer or next step.

Describe the outcome in the test account.

Open Your AI Team, press Coach on the teammate, and give one plain-language instruction.

Review the customer-facing response.

Use the available test experience and compare the answer with the outcome your business expects.

Check the surrounding experience.

Confirm that the answer still uses the right business facts and offers an appropriate next step.

Record the result.

Keep the example, what your team approved, and anything that remains unresolved before live use.

3 Check the whole customer experience

Do not listen only for the corrected sentence. Check what happens immediately before and after it. A better price answer is not an improvement if it leaves the caller with no next step. A clearer booking confirmation should still use the right date and time.

For voice behavior, listen for pace and tone as well as words. The response should be correct and still sound like your business.

4 Clean up after a real test call

A test call may create a real booking or send a real text. Use your own contact information. If it creates an appointment you do not want, open the Board and use Cancel appointment….

Close the review only when your team can state the intended behavior, identify the customer-facing evidence, and explain the next action. Handle the next finding as a separate decision so the records stay understandable.
