Who works which brands

Decide who covers which brands, and what each role can see and change.

In a group, coverage moves. A CSR picks up the new brand for a season. A brand manager should see their brand and nothing else. Someone leaves and their brands need a new home by Monday. If every one of those moments were a project, sharing a team across brands would collapse under its own admin.

In Tradesly, an admin manages this from the person's record in Users. The person's Role decides the access model: an Admin automatically sees every brand owned by the account, while an Agent sees the brands selected under Organizations.

1 Start with the work they need

Choose Admin only for someone responsible for the whole account; that role sees all brands the account owns. For an Agent, decide which companies their current job requires and select only those Organizations.

Do not share logins between teammates. A separate user record makes coverage easier to review and lets you disable one person's access without disrupting anyone else.

2 Two questions, answered separately

Getting access right means keeping two questions apart:

  • Do they administer the account? Choose Admin only when the person should see and manage every brand owned by the account.
  • Are they working selected brands? Choose Agent, then select those companies under Organizations. Users & permissions explains the role boundary.

Review both choices together before sending an invitation or saving a change. If someone temporarily covers another brand, set a date to review that access again.

3 The steps

Open Users in Settings.

Every person on the account, with the roles and brands they carry.

Press Add User.

Set the Role first.

Choose Admin for all account-owned brands or Agent for selected-brand access.

Pick Organizations for an Agent.

Under Access Control, select only the companies the Agent's current work requires. An Admin already sees every brand owned by the account.

Press Send Invite.

A new person lands as Pending Invite until they accept. When someone pauses or leaves, select their row instead and use Disable, Resend Invite or Delete.

4 Confirm every access change

After changing a person's record, ask them to refresh. An Admin should see every brand owned by the account. An Agent should see only the selected Organizations. If the result differs, disable the user if appropriate and contact support.

5 Review access as part of normal staffing

Review Users when someone joins, changes roles, covers a new brand, or leaves. Use Disable when access needs to stop without deleting the record. For Full Service coverage, ask your Tradesly contact to confirm the agreed companies, hours, and responsibilities.

6 A sensible starting shape

  1. Account owners: use Admin when they need every account-owned brand.
  2. Brand managers: use Agent with selected Organizations when they should stay inside particular brands; use Admin only for whole-account responsibility.
  3. CSRs: use Agent, starting with the brands they actively answer.

Keep the list current. A short monthly review is safer than discovering an old assignment during an urgent staffing change.
